OUTLINE
Proboscis is committed to protecting the personal information of anyone who uses our systems, buys our products and services or attends events we run. In line with best practices, we aim to be transparent about what information we collect and hold about individuals and to implement privacy by design in how we collect and process any data about individuals. This policy aims to set out what we collect and how it is used in accordance with UK and European data protection laws. Proboscis is registered as a data controller with the Information Commissioner’s Office.

WHAT TYPES OF INFORMATION
Proboscis collects personal data such as names, email addresses, postal address, social media addresses and telephone numbers. These might be volunteered when people sign up to one of our services, like bookleteer.com, or our mailing list, or when someone makes a purchase or donation, which are also recorded. Proboscis collects information when people register to take part in our events.

HOW PROBOSCIS USES YOUR DATA
In addition to marketing communications, Proboscis processes personal information in the following ways that are within its legitimate organisational interests and purposes:

 – Proboscis may analyse data we hold about you to ensure that the content and timing of communications that we send you are as relevant to you as possible.

 – Proboscis may analyse data we hold about you in order to identify and prevent fraud.

 – Proboscis may analyse anonymised data to learn about audience behaviour within its work and use this information to inform future works and projects.

 – In order to improve Proboscis’ websites, we may analyse information about how you use it and the content that you interact with.

 – Proboscis may use the information it collects to help understand your interests and preferences. Publicly available information about you from sources such as public registers, online (including records that you have made public on social media) or the electoral roll may also be collected and used to help communicate with you in a relevant way.

MARKETING
Proboscis aims to communicate about its work in ways that are relevant, timely and respectful. This may include using data stored about you, such as what events you have attended in the past, what products you may have purchased as well as any preferences you may have told us about.

We use our legitimate organisational interest as the legal basis for communications by post. You may object to receiving postal mailings at any time using the contact details at the end of this policy. For email communications, we use your opt-in consent to be contacted in this way as a legal basis (for example, when you join our mailing list on our website). We will give you an opportunity to opt out of receiving our email communications every time we contact you. Alternatively you can use the contact details at the end of this policy to let us know if you no longer wish to hear from us.

THIRD PARTIES
Under no circumstances will Proboscis ever sell personal data to anyone. Proboscis may, however, be required to disclose your personal information to third parties, for instance:

– to Proboscis’ own service providers who process data on our behalf and on our instructions (for example our ticketing system software provider). In these cases, such third parties are required to comply strictly with our instructions and with data protection laws, for example around security of personal data.

– where Proboscis is under a duty to disclose your personal information in order to comply with any legal obligation (for example to government bodies and law enforcement agencies).

– to specific, named partner organisations, funders and venues where you might have taken part in an event. In these cases we will always ask for your explicit consent before doing so.

Proboscis may share reports about participant behaviour within our projects in anonymised form with our funders, partners and general audiences to share industry learning and best practice. Such reports will use anonymised data only.

Proboscis does not use third party researchers or profiling companies to analyse any personal data we collect.

SECURITY OF YOUR PERSONAL INFORMATION
Proboscis will put in place appropriate safeguards (both in terms of our procedures and the technology we use) to keep your personal information as secure as possible. We will ensure that any third parties we use for processing your personal information do the same. We will not transfer, process or store your data anywhere that is outside of the European Economic Area.

Proboscis’s websites uses Google Analytics cookies to track anonymous usage statistics and does not collect any personal information that can be used to identify you. This data helps analyse webpage usage and improve our website in order to tailor it to our audience needs. Google Analytics stores information about what pages you visit, how long you are on the site, how you got there and what you clicked on.

Proboscis uses Google Analytics to determine how popular parts of its websites are, to determine if you have been to any of the websites before, and to securely and anonymously record the value of any purchases. Google analytics sets cookies which will stay active for a number of years and identify that your computer has visited one of its websites.
